How to use this invoice generator
Create a professional invoice, estimate/quotation or pro forma invoice with your logo, taxes and discounts. Everything runs in your browser — nothing is uploaded.
How to create an invoice: start a new document, import a JSON/ZIP backup, or open a template or draft saved on this device. Select your country (USA, UK, Canada, India) and document type, choose one of five designs (Classic, Minimal, Service, Product, Detailed Tax), enter business and customer details, add items with quantities, rates, discounts and tax rates, add payment instructions and terms, then preview and download the PDF.
Discounts and taxes: set per-line discounts plus an invoice-level discount (fixed or percent, allocated across lines). Choose tax-exclusive prices (tax added on top) or tax-inclusive prices (included tax is extracted, never added twice). Multiple components are parallel on the same base unless you explicitly choose the documented compounded mode. No-tax, exempt and zero-rated lines stay distinct.
Payments and status: add bank instructions, account details and an optional https payment link (with a display QR). Record manual payments with date, amount, method and reference to track partial payments and balance due. Records are user-entered and unverified — this tool never processes payments or stores card details.
Templates vs drafts: a reusable template keeps design, branding, business, country, currency, tax setup, payment instructions, notes/terms and generic item presets (quantities reset to 1) and clears customer, number, dates, references and payments. A draft restores the full editable document. Export JSON/ZIP backups to move between devices; the PDF is the final document while JSON/ZIP preserves editable input.
Storage limits: templates and drafts are saved only in this browser on this device (opt-in). Clearing site data, private browsing or cleanup may remove them. Imports are limited to 5 MB; ZIP packs to 20 files and 10 MB uncompressed. Logos must be PNG/JPEG under 5 MB.
Country fields and e-invoice limits: USA uses configurable sales-tax labels/rates; UK shows VAT number, supply date and VAT breakdown; Canada shows GST/HST registration with configurable GST/HST/PST/QST parts; India shows GSTINs, place of supply, HSN/SAC and CGST+SGST vs IGST display. Country selection never decides tax liability and no rate is automatic. For Indian e-invoicing: this tool creates invoice documents only — it does not register with an Invoice Registration Portal or generate an official IRN/signed QR code.
FAQs
Is signup required?
No. The invoice generator works without an account; saving templates and drafts on the device is an optional opt-in.
Where are invoices stored?
Only where you choose: in this browser via IndexedDB when you opt in, or in PDF/JSON/ZIP files you download. Nothing is sent to a server, the CMS, analytics payloads, error logs or share URLs.
Can I edit a PDF directly in this tool?
No. The PDF is the final, non-editable document. Restore the editable input from a saved draft or an imported JSON/ZIP backup, edit it, and export a new PDF.
How do I restore an editable invoice?
Open a draft saved on this device, or use Import template or draft with a JSON/ZIP backup and choose Restore as draft. Totals are recalculated from validated input on import.
What is the difference between a template and draft?
A template is a reusable starting point: it keeps design, branding, business, country, currency, tax setup, payment instructions, notes/terms and generic item presets (quantities reset to 1), and clears customer, number, dates, references and payments. A draft restores the complete editable document.
Can I use saved templates on another device?
Yes. Export a JSON backup or ZIP pack on this device and import it on the other device. Browser storage itself never syncs between devices.
What happens if browser data is cleared?
Templates and drafts saved in the browser may be removed by clearing site data, private browsing or storage cleanup. Export a backup to keep a copy.
Does the tool calculate the correct tax automatically?
No. You enter tax labels and rates and the tool performs the arithmetic precisely. Country selection controls terminology and fields only — it never sets your tax liability and no rate is chosen automatically.
Does it generate an official GST e-invoice?
No. It creates invoice documents only. It does not register invoices with an Invoice Registration Portal and does not generate an official IRN or signed QR code.
Can customers pay through the invoice?
No. The tool never processes payments or stores card details. You can display bank instructions and an https payment link with a QR for convenience.
Does “paid” status verify a payment?
No. Payment records are manual entries for your own tracking and are labelled as unverified in the preview and PDF.
Why do tax totals sometimes require a rounding adjustment?
Each tax line is rounded half-up to the currency minor unit. Grouped totals can differ by a minor unit from a single rounded sum; the difference is shown as a labelled rounding adjustment.
Which file formats and limits are supported?
PDF (A4/US Letter, selectable text), print, CSV item export, standalone JSON and ZIP packs. Imports are limited to 5 MB checked before reading; ZIP packs to 20 files and 10 MB uncompressed. Logos must be PNG/JPEG under 5 MB and within 4096 px per side.
